Fulfillment Glossary

The Client Portal uses a specific vocabulary for inventory and orders. Most of it will feel familiar, but a few terms (Allocated, Available, Sell Ahead, Build Kit) have precise meanings that matter when you're reading a report or deciding why an order hasn't shipped. This glossary covers the terms you'll see most often.

Inventory terms

Term

What it means

On Hand

The total number of units of a SKU physically in the Mountainy warehouse, in sellable locations.

Allocated

Units that are in stock and already committed to open, unshipped orders. Think of these as spoken for.

Available

Units you can still sell. This is On Hand minus Allocated (plus any Sell Ahead quantity, if you use it). Available is the number the portal pushes to your connected stores.

Backorder

Units that customers have ordered but that you don't have On Hand to cover. An order with a backordered item can't ship until stock arrives.

Reserved

Units you've chosen to hold back from your sales channels (for example, for an upcoming promotion or to cover returns and exchanges). Reserving lowers the quantity pushed to your store but doesn't physically move stock.

On Order

Units on an open Shipping Plan that haven't been received yet.

Sell Ahead

Units on an incoming Shipping Plan that you've chosen to make available for sale before they physically arrive. Used for pre-orders and launches.

In Tote

Units that have been picked for an order but not yet packed and shipped.

Non-Sellable

Inventory in a location excluded from your On Hand count, typically damaged, quarantined, or held-back stock.

Pending Return

Units a customer has started a return for that the warehouse hasn't received yet.

Reorder Level

The Available quantity at which you want to be alerted to restock a SKU. Products that have reached this level appear on the Needs Reorder tab.

Reorder Amount

The quantity you'd typically reorder once a SKU hits its Reorder Level.

Bin / Location

A specific storage spot in the warehouse (a shelf, bin, or pallet position). A SKU can live in several bins.

Lot

A batch of a product identified by a lot number and, usually, an expiration date. Used for food, supplements, cosmetics, and other date-sensitive goods.

Product terms

Term

What it means

SKU

Stock Keeping Unit: the unique identifier for one product. Every variant (each size, color, or pack count) needs its own SKU.

Barcode / UPC

The machine-readable code on the product's packaging. The warehouse scans it at receiving and again at packing to confirm the right item is going out.

Kit

A SKU that is made up of other SKUs (called components). When someone orders the kit, the warehouse picks each component. Inventory is tracked on the components, and kit availability equals whatever the scarcest component allows.

Build Kit

A kit whose components appear as separate line items on the order. This allows components to ship separately (for example, from different warehouses, or partially if one is backordered).

Assembly SKU

A product built from components ahead of time through a work order (a request Mountainy reviews and approves), so it exists as its own finished inventory item. Different from a kit, whose components are picked individually when an order is fulfilled.

Dropship Only

A product setting meaning Mountainy does not stock or ship this item; someone else fulfills it. Orders containing it won't go to backorder for that item.

Master Case / Carton

The outer box your manufacturer ships product in. Its barcode must be different from the barcode on the individual unit.

Order terms

Term

What it means

Ready to Ship

The order has all items allocated and no holds, so it's been released to the warehouse queue.

Not Ready to Ship

The order can't be released yet, either because an item is backordered or because a hold is on the order.

Hold

A flag that stops an order from being picked or shipped. There are six types: Address, Payment, Fraud, Operator, Hold Until Date, and Client.

Client Hold

A hold that only you (the client) can place or remove. Mountainy cannot set or clear it.

Operator Hold

A general-purpose hold placed by the warehouse team (or by an automation rule) when something needs attention before the order can ship.

Hold Until Date

A hold that releases itself automatically at a date and time you choose. Useful for launches and subscription boxes.

Allow Partial

An order setting that lets the in-stock items ship now instead of waiting for backordered items. Each partial shipment gets its own label.

Manual Order

An order you create directly in the portal (or upload by CSV) rather than one imported from a store.

Order Tag

A label attached to an order for grouping, filtering, or triggering automation rules. Some tags are applied by Mountainy for warehouse operations; don't remove those.

Fulfillment Status

The system status of an order: Pending (open; the system's name for it is Default), Fulfilled (fully shipped), or Canceled. Mountainy may also use custom statuses to sort orders into groups; a custom status is not a hold.

Automation Rule

An "if this, then that" rule that runs when an order is imported (for example, "if the order is tagged Fragile, use a box instead of a mailer").

Reship

Sending some or all items of an already-shipped order again, tied to the original order.

Merge

Combining two or more open orders going to the same customer and address into one shipment.

RMA

Return Merchandise Authorization: the record of a return, created when a return is started.

Exchange Order

A new order created from a return so a replacement item can ship. Exchange orders carry an EXC- prefix.

Inbound and shipping terms

Term

What it means

Shipping Plan / Purchase Order (PO)

The record you create in the portal telling Mountainy what you're sending, how much, and how it's packed. Required before inventory
arrives.

Box Manifest

A CSV listing which SKUs, in what quantity, are in each numbered box of a shipment.

Pallet Manifest

A box manifest that also records which pallet each box is on.

ASN

Advance Shipment Notification: the details of what's arriving and when. In practice, this is the Shipping Plan plus tracking.

Tracking Number

The carrier's identifier for a package, created when the shipping label is generated.

First Scan

The carrier's first physical scan of a package after picking it up from the warehouse. Label creation shows up on tracking pages first, but it isn't a carrier scan.

Generic Label

A label with no carrier tracking, used for pickups, local deliveries, or freight.

DIM Weight

Dimensional weight: a size-based billing weight carriers use. You're charged for whichever is higher, actual weight or DIM weight.

Zone

A carrier's distance band between the shipping warehouse and the destination. Higher zones cost more and take longer.

DDU / DDP

For international orders, who pays duties and taxes: the recipient on delivery (DDU, Delivered Duty Unpaid) or you up front (DDP, Delivered Duty Paid).

HS / Tariff Code

The international customs classification code for a product. Required on customs paperwork for international shipments.
